I'm really curious to get an idea of what software you are using to help manage your swimming pool business. It is a complete backend system, financial only, route/scheduling only? Please share! Also, where are you located and how many pool accounts do you have.I'm doing market research, thank you!

We are a 28 year old pool construction company in Pennsylvania that recently added a retail store and an expanded service department. We went with The Pool Program out of California this year to help manage our business. I have to say that it has been a lesson in extreme patience to implement the program effectively in the business. While the programmers claim that it is user friendly and covers a wide variety of business applications, we have been somewhat frustrated with the amount of training that was offered with the program. There was no tutorial, no set up team and a very vague online handbook. We had to figure everything out as we went, which lead to a lot of backtracking and re-entering data that could have been done right the first time if we knew how to set it up properly. After six months, we still can't enter our accounting records and have to continue to rely on Quickbooks.

  • Hey Joey,

Amazing you were able to reach 1400 maintenance customers. Was wondering what kind of marketing you implemented to reach such a high customer volume.

We have been in the pool service industry for 28 years and purchased "The Pool Program" when it first became available. We currently service 1400+ customers and have been using "The Service Program" going on three years now. The software seamlessly integrates with Quickbooks, handles route scheduling, service calls, manages inventory, automatically generates e-mail to customers, and many more features and with remote pda and smart phone capability. There is nothing comparable to this software on the market. The software is very user freindly and has streamlined our company's efficiency well beyond our expectations. Feel free to contact me regarding more info on "The Service Program".

  • We used RB Controls Systems for about 2 years, but stopped over a year ago. We just do service and repair, and I think it was a little too big of a program than what we needed. We had very bad luck with the support and problems the program had. They have become overly interested in payment for support. We weren't signed up for their monthly support program and our main server had a virus and we needed to reload everything and they wouldn't give us our information back unless we paid them a crazy amount of $$$. So I started fresh with a different program. Also, the QuickBooks integration was very poor and didn't give good financial records.

We are using RB Control Systems. This was designed by someone with their own pool company. We have 4 retail stores, service and construction departments. We are able to process all aspects of the business using this system. Inventory control, service call scheduling, job costing for construction & spa sales, purchasing and receiving product, and retail sales as examples.

  • I agree with Dave - most small businesses can manage with Quickbooks & Excel. Selling pools
we had all our job phases(labor & materials) itemized in cost of sales and were able to create job reports with actuals; we also had our price book set up in Excel so that we could price out jobs.
  • We have five retail stores, two warehouses and a full service department. After spending many months and dollars on Quickbooks Multi-Store POS software, we finally gave up due to inventory issues. After a lot of research, we went with Evosus Business Management. They are a wonderful company based in Vancouver, Washington. The program allows for multiple stock sites (including service trucks) with their own inventory control, service scheduling and routing, job management, maintenance contracts, POS, and accounting all in the same program. They also offer credit card service integration and payroll services. This is a very robust program and doesn't require the usual importing or exporting of data between multiple software programs. There are so many bells and whistles that it will probably take us awhile to get around to using them. The Evosus support team is always accessible for any questions and/or problems that we have and 90% of the time a real person actually answers the phone!
